Calcium

1. Introduction

1.1. What is Calcium

Calcium is a web calendar application that can run through any internet browser for the purpose of diary management. Calcium is used internally by The Silent Partner and for clients who have subscribed to our Calendar Management Service.

The program is hosted by Brown Bear Software and The Silent Partner has added numerous levels of customisation to the product to better personalise the service to our clients needs.

1.3. Terminology

While using the calendar you may come across some specific jargon or terminology used. Some common jargon is detailed in this table.

Event

This is your booking/appointment. It is used to both block times, make notes, book clients/patients. If you have a time that is event free, then this will be deemed as available to be booked.

Event Edit Window

This is the interface which is used to change or generate a new event.

Repeating Event  An event that has been set to repeat at certain intervals over a period of time. Eg. Every second Monday for 6 months.
Parking Area  This refers to the area at the top of the diary, between the date header and the time lists. Usually notes and waiting list are placed here.
Custom Field By default your calendar will include the fields for Name and Number. Custom fields refer to additional data entry fields in the event edit window unique to your specifications. E.g email address, referral source etc
Category This is a tag used for identifying an event type. All events must have a category selected before the event can be created.

1.4. Support and Training

The Silent Partner offers support and training of the calendar system to our clients at an hourly rate. Please see the attached copy of our standard fees and charges for our costings.

Your email should clearly outline what your challenge is and the desired outcome. The clearer the information is that you give us, the faster your request can be resolved.

 

2. Getting Started

2.1. Logging into the Calendar

Home page: http://calcium.silentpartner.com.au

It is our recommendation that you bookmark this link. Upon logging in you will be taken to your default page. This will either be your calendar or the home page. If you would like this adjusted, contact support@silentpartner.com.au to advise of the changes you would like made.

The video below will walk you through the process for logging into your calendar.

IMPORTANT: Username and password is Case sensitive!

If you cannot log in:

  • ensure there are no spaces before or after your username or password
  • ensure Caps lock is not on
  • check your password is accurate
  • check you have spelt your username correctly, in the correct case.

A note from the service provider

  • Calcium uses cookies to maintain login information. If cookies are disabled in your browser, you won't be able to login to Calcium. Note: If you're using the Microsoft IE browser and do have it set to allow cookies, it could be a problem on your PC. There might be a corrupt cookie file, a registry problem, or the clock on your computer may be wrong. Please see this page from Microsoft for more information on these IE cookie problems: http://support.microsoft.com/kb/175662

2.2. Calendar Display

There are a number of different ways you can view your calendars. There's the traditional calendar Grid format, as well as a List format and a Time Plan format. There are also special "Planner" views of multiple calendars, for calendars using the "Dynamic Include" features. You can choose to display a day, week, month, quarter, or year at a time, and opt to display only dates that have events. Different users viewing the same calendar can pick whatever format they prefer without affecting other users.

By default, a calendar will be set up as a Time Plan format in week view, while an overview calendar (if you require one) is set in Planner view. Jump to Using Multiple Calendars (Chapter 9 - see below for links) for more information on how to navigate the calendar using the Planner view.

To navigate the Time Plan view, you will be using 2 navigation bars at the top of the screen. These will be explained in the next page.

You can change your view to suit your personal preferences. Feel free to experiment with the display options at the bottom of your calendar to find the option that suits you best. If you find a view that is more preferable to you (e.g you may prefer to view the current day only), you can save that URL which will store your preferences.

By default, your calendar visibility will begin on the hour before your earliest start date, and end on the hour after your latest end date to allow for a red "do not book" band to be visible so the users can clearly identify when the caller can be booked.

2.3. Navigation Bars

You can navigate through your Calendar by using the two navigation bars (above) located at both the top and base of your calendar.

You can use the top navigation to jump to a week starting at a particular date (up to 4 weeks ahead or 4 weeks back) or you can use the lower navigation to jump ahead or back one week, 2 weeks etc

If you need to return to today's day, you can click today in the middle.

The Navigation Bar will be slightly different depending on your current view. For example, if you are in a Month view, rather than having "week" options, you will have "month" options, but the basic principle is the same.

2.4. Standard Colours Used

Since The Silent Partner call attendants are accessing numerous calendars, to minimise confusion and the potential for errors we have a few standard colors used in the calendars. Each of these colors have a specific meaning and all new call attendants are trained on these colours and their meaning, so they can easily identify a clients availability, special notes etc. They are consistent across all our calendars and it is not possible to change.

 

Red

This colour is used to mark unavailability in the calendar. If an operator sees a time blocked by a red
Do Not Book, then they know that no booking can be made for this time slot.

 
Green

This colour, generally of two or three different shades, is used to indicate a booked appointment.
Typically the lighter green is used to represent a new client/patient while
a medium or deeper green is for a return patient.

Green
 
Orange

While not a colour option added to your diary by default, it is the colour of choice for
warning messages or special notes.

 
Black

This colour is used to represent a cancellation made within a cancellation period. Eg same day.
This feature is only available upon request.

 
Grey

This colour is used to represent a cancellation made outside a cancellation period that has not rebooked.
This feature is only available upon request.

 
Purple

This colour is used for the waiting list. Please refer to Chapter 8 (link below) for more information.
This feature is only available upon request.

2.5. Determining Working Hours

In order to facilitate your needs as accurately as possible, The Silent Partner operates on a systemised process for determining availability. We do not write down a practitioners availability. Instead we block out all times we cannot book. If there is a white space (of the appropriate length of course) the operator will deem the time as available, and will book as such.

By default, your calendar visibility will begin on the hour before your earliest start date, and on the hour after your latest end date to allow for a red "do not book" band to be visible so the users can clearly identify when the caller can be booked. These bands are generated via a repeating event.

The onus is on the owner of the calendar to manage the availability of the practitioner. The Silent partner will take bookings and book patients into any time slot where this is an availability. If the owner of the calendar fails to block out times that they are not available, or does not manage their calendar appropriately (creates conflicting Do Not Book schedules, creating user confusion), then it is the clients responsibility to contact the patient and reschedule the booking. If you would like The Silent Partner to contact the patient to rebook, there may be a charge involved.

If you are on leave, not working or want to schedule a break, it is not The Silent Partners responsibility to manage this. However we are more than happy to adjust your calendar to reflect this change at your request, just email support@silentpartner.com.au with as much detail as possible regarding the change you want made. This will incur an additional one off charge on your next invoice for the time taken to make the change. Please refer to our price list for more information.

2.6. Categories

Categories are used to mark event types in the calendar (incl working hours, waiting lists and different appointments). Please see the Calcium documentation for more information.

All our calendars have a few standard category types (such as Do Not Book, Waiting List, Note, etc). This is used for the purpose of making the user functionality of the calendars more streamline, simpler and easy to understand, hence minimising confusion and the chance of error for our team.

2.7. User Permission Levels

Each user is given a permission level per calendar by administration upon creation. A client can have different permission levels for each employee.There are 4 permission levels available:

No Access:

User has no access to view the calendar and therefore cannot edit the calendar in any way. The calendar will not appear on their home screen and as far as that user is aware, does not exist.

View Only:

User has access to the calendar and it is visible in their home screen, but they are unable to edit the events in the calendar in any way. They can however view the information in the event.

Add Event:

User has access to the calendar and it is visible in their home screen. They can create new events in the calendar, but they are unable to edit or delete events in the calendar. This includes events they have created.

Edit Event

User has access to the calendar and it is visible in their home screen. They can create, edit and delete all events in the calendar. 

3. Standard Calendar Events

3.1. What is a Standard Event

A Standard Event is an event in the system that is placed in the one slot only. From this slot you can move, copy or set it up as a repeating event.

3.2. Creating a New Event

It's easy to add an event to a calendar!

The best way is to just double click on the free time that you would like to add an event to. This will open the event edit window as a pop up.

Alternatively you can click on the Add/Edit link below the calendar, or click on the day you want to add the event to; this brings up the Event Edit screen for that day. Any events which already exist for that day are displayed, as well as a form you can fill out to create a new event. The only required field is the Event Text.

In addition to the event text (name), you can specify:

  • The date of the event (if you clicked on a day, this defaults to that date.)
  • Start Time and End Time (if you clicked on a time, this will be the default start time)
  • A Category for the event, which has associated default colors and can also be used for Searching and Filtering.

Click Create Event!

3.3. Viewing an Existing Event Details

In order to view a summary of an existing event, simply click once on the event text in the diary to open a pop up summary of the event. Remember to open the event edit window again for editing, you need to double click.

3.4. Editing, Moving or Deleting an Existing Event

To Edit or Copy an event, select the Edit button that appears next to the event in question at the top of the screen for that day. Similarly, to Delete an event, select the appropriate Delete button. For repeating events, you can choose whether to edit or delete all instances of the event, or only the instance that occurs on the day you're looking at.

If you're Editing an event, you'll be presented with the same Event Edit Form used to create a new event. The fields will contain information for the event to be edited, and you can change any or all of them. When you're ready to save your changes, press the "Replace Event" button.

3.5. Copying an Existing Event

To Copy an existing event, press the Edit button, and then press the "Copy Event" button instead of the "Replace Event" button. Note that you can make changes before copying, effectively editing and copying an event in one step. This will leave a copy of the original event as is and create a new event with the new details.

You can also Copy an event to other calendars, if Adding to Multiple Calendars is enabled. Edit the event as above, and select the calendars from the calendar list. (Make sure to unselect the current calendar, or you'll get another copy there, too.) Then, press the "Copy" button.

3.6. Deleting Vs Cancelling an Existing Event

To mark an appointment as a cancellation is a different process than just deleting the event. You also cannot hit the "cancel" button - this just exits the event edit window, it doesn't actually save any changes.

If you have opted to have your cancellations marked as such, you will have 1 or 2 additional categories in your diary, dependent on which option you have selected.

To mark an appointment as a cancellation, you need to edit the event to change the category to an appropriate cancellation category, rather than deleting the event. This leaves a copy of the appointment in diary at the original time, but you and the team know to book over this slot.

4. Repeating Calendar Events

4.1. What is a Repeating Event?

A repeating event is a series of a single event set to re-occur at set intervals.

An event can repeat on every day, or every week, or every other week, or every third Monday, Wednesday, and Friday, etc. An event can also repeat in the "the third Thursday of every month" fashion. You can select the end date for the event, or let it repeat forever.

We use repeating events to mark out availability, but you will often use the repeat function for regular patients etc.

4.2. Creating a Repeating Event

You can also specify that an event repeats. An event can repeat on every day, or every week, or every other week, or every third Monday, Wednesday, and Friday, etc. An event can also repeat in the "the third Thursday of every month" fashion. You can select the end date for the event, or let it repeat forever.

After creating a Repeating Event, you can edit or delete single instances of the series, or you can edit or delete all the events in the series at once.

4.3. How to know an event is a Repeating Event

There are two ways to identify if an event is repeating or not.

If you open the event edit window, you will see a note as below:

As per the instructions for editing a repeating event, you can scroll down to the "Add/Edit" option at the bottom of the screen in your calendar. In the right hand column there will be a drop down. This option is only available for repeating events.

4.4. Options for Editing or Removing a Repeating Event

In the calendar, scroll down to the "Add/Edit" option at the bottom of the screen

Select the date of the event you wish to change from the row at the top of the screen.
Scroll down to your event.

In the right hand column you will find a drop down labeled "Which Instance". This option is only found with a repeating event.

All - Changes/deletes every event in the series
Only this Date - changes/deletes that one event, removing it from the series
This date, and all before - Changes/deletes that event and every event prior in the series
This date, and all after - Changes/deletes that event and every event following in the series

By default, all calendars are set up to "Only This Date"

Please note that editing the entire series removes/changes all the events of that series. Unless you are editing a newly created series, it is The Silent Partners recommendation that you choose to edit this date and all forward, or the single event.

Select your preferred option and then either Edit or Delete depending on the action you require.

If editing, the Event Edit pop up will appear.

5. Event Reminders

5.1. What is an Event Reminder?

An event reminder is a customisable email that can be sent at 1-2 set time intervals before the start date of the appointment. This can be sent either via email or SMS. If the appointment is not set up correctly, the reminder will not be sent.

Commonly this is sent at 1 interval, 24 or 48hrs before the time of the appointment with the following format:

"APP REMINDER: {appointment date} at {appointment start time} with {practitioner}. DO NOT REPLY to this SMS/Email! Contact {phone number} for changes.  Please note Xhr cancellation policy."

The Silent Partner strongly recommends you sign up to one of our SMS plans, as a SMS sent from the calendar will incur a cost of $1 per SMS unless you are on a plan.

5.2. Setting up an Event to send a SMS Reminder

When creating a booking using the create/edit event pop up window, scroll down to the pink bar labelled "Email Reminders":

There will be a note in the system to remind you to enter the information for the reminder. If the patient does not have an email address and/or a mobile number this will be noted in the booking by staff. Please see below for an example of the reminder note you will find in the Event Edit Window:

Enter mobile number under "Email Address" as phonenumber@send.smsbroadcast.com.au. (see below) The @send.smsbroadcast.com.au should already be in the appointment window. You do not need to adjust the time before as this has already been determined. Make sure to enter the number accurately and with no spaces.

IMPORTANT TO NOTE:

  • There must be NO spaces in the number
  • It cannot be sent to a landline (it is a SMS, so needs a mobile number to be received at)
  • It must contain the @send.smsbroadcast.com.au so do not delete this (including making sure it has the @ symbol still)
  • Mobile number MUST be the correct number of digits.
  • IF configured for a SMS reminder it cannot be sent to an email address (eg johnsmith@email.com), it will not work. 

5.3. Setting up an Event to send a Email Reminder

When creating a booking using the create/edit event pop up window, scroll down to the pink bar labelled "Email Reminders":

There will be a note in the system to remind you to enter the information for the reminder. If the patient does not have an email address and/or a mobile number this will be noted in the booking by staff. Please see below for an example of the reminder note you will find in the Event Edit Window:

5.4. Stopping an Event from sending a Reminder

How To:

  • Open the Event
  • Remove contact number from Reminder field
  • Change "Send reminder email" from '1 day' to '-'

6. Email Notifications

6.1. What are Email Notifications?

An email notification is a function where the system sends an email that the system sends to a nominated email address when the appointment is created and then every time the event is edited. This will contain a summary of the appointment (Date, Time, Booking details) and an option for customisable data e.g welcome letter with information about the practice including location.

The email address the notifications are sent from is customisable at the point of establishment. If you would like the email changed, please contact support@silentpartner.com.au

6.2. Sending an Email Notification

When creating a booking using the create/edit event pop up window, scroll down to the pink bar labelled "Email Notification" (see below for example). Enter email address under "TO:". You do not need to add any additional comments. Make sure to enter email address accurately and with no spaces.

There will be a note in the system to remind you to send the email. If the patient does not have an email address this should be noted in the booking. Please see below for an example of the note (or a variation of) you will find in the pop up:

6.3. Options for Email Notifications

The email notification is set via custom HTML that is set up as per your specifications and implemented by The Silent Partner. The emails are not able to include attachments however we can include links to documents hosted online.

Please discuss with your account manager if you would be interested in adding this service.

7. Custom Fields

7.1. What is a Custom Field?

Custom fields refer to additional data entry fields in the event edit window unique to your specifications. E.g email address, referral source etc

You have 5 custom fields included in your basic package. Any custom fields above this may incur an additional cost and should be discussed with your sales or account manager. 

Additional custom fields can be added at any point, all you need to do is contact your account manager via support@silentpartner.com.au

7.2. Options for Custom Fields

The Custom fields are just that, custom! They can be tweaked to suit any need.

All calendars as a default include a custom field of Phone Number.

Common options for Custom Fields are:

  • Email Address
  • Date Of Birth
  • Referral Source
  • Reason for Booking

The only custom field we do not use is for Credit Card details. If you would like us to be able to do so, please contact your account manager to discuss options.

8. Waiting List

8.1. What is the Waiting List

A Waiting List Booking is a booking where there is no TIME SLOT available on the preferred day to take a firm booking for the patient/caller. The Operator takes a booking into the Parking Area on the preferred day of the booking. The booking is taken as Category "Waiting List" and the colour is Purple. An example is shown below:

Please note waiting list appointments must be placed in the parking area to avoid confusion.

If you do not have a waiting list feature on your calendar and you think this is something you will benefit from, please contact us at support@silentpartner.com.au and we will ensure this feature is added to your diary.

8.2. How to place a client on the Waiting List

To place a client on a waiting list, open the event edit window as though to create an event on the day/week the client would like to come. You assign the Category to "Waiting List" and the important thing is that you need to ensure the time for the appointment is set to "None". This will place the appointment in the parking area.

No appointments placed on a waiting list will be sent any reminders.


PRO TIP: Do they already have an appointment booked?

If you have already created a booking for the patient, simply follow the below steps to copy to the waiting list:

  1. Once a booking is created, re-open the original event.
  2. Change the Category/Appointment Type to Wait List
  3. Add any additional notes in the name box (ie only available on Wednesday mornings).
  4. Change the date to when they should start appearing on the waiting list.
  5. If required you can repeat the event once a week until their upcoming booking. (Use the Repeat Information option)
  6. Now click Copy Event.
  7. This will create the waiting list event in the parking area while leaving the original booking unchanged.


8.3. Responsibility for Managing the Waiting List

While The Silent Partner staff are able to contact the patients/clients on your wait list on your behalf and book them in for the next available slot at your request, it is NOT the Silent Partners responsibility to manage the waiting list.

If you would like us to contact clients on your waiting list on your behalf, you will need to send a request to support@silentpartner.com.au. There will be a charge for the outbound calls to do so.

9. Using Multiple Calendars

9.1. Overview Calendars

Depending on the complexity of your requirements, you may need multiple calendars to facilitate these requirements. Examples of requirements that may lead to the need for Multiple calendars includes (but is not limited to):

  • More than 1 practitioner
  • More than 1 location
  • Multiple practice rooms at one location

If you need to have multiple calendars, you will be given an overview calendar. This calendar lists the appointments for all your calendars for the selected day. Each calendars event is listed in a horizontal Planner view. You can create, edit and change appointments from this view if the user has the appropriate permissions.

Please note an overview calendar does not include events in the parking area, or events with the categories of "Waiting List" or "Cancellations". You will have to go directly to the appropriate calendar to view these.

 

There is no additional charge for the overview calendar.

9.2. Moving Between Calendars

To jump between your calendars, you have a few options depending on which calendar you are in currently.

 

Any Calendar:

In all of our calendars, there will be hyperlinks in the title that will take you directly to the current week of each calendar linked to your account.

From the Overview Calendar:

In addition to the hyperlinks in the Title area of the calendar, there is also a direct link in the left hand column that will take you to that calendar named.

OR Via Home

In any calendar, scroll to the bottom and select the "Home" option under System Requirements. This takes you to the home page that not only allows the user to change their password, email etc, but also lists all calendars the logged in user has access to.

To open a calendar from this page, click on the calendar name in the left hand column.

10. Free Trial Of The Calcium Calendar

10.1. What is a Calendar Trial

As with our Virtual Phone services, we offer a trial of our Calendar service to new clients. The purpose of this trial is to develop an understanding of how our calendar system can work for you and your business.

Due to the fact that it is a free trial of the service, you do have a slightly limited version of the calendar. You will be using a "basic" version of our calendar, which does give you full standard functionality, however any additional features will not be accessible to you on the trial. Please see the next chapter for what you do and do not have access to on a free trial.

 

Valid for:

We only offer a trial of our calendar for 14 days (including weekends). You can however upgrade to a full paying customer at any point to gain the benefit of our services not accessible to you on a free trial.

11. Using Your Calendar On The Go

11.1. Creating "App Link" for Calcium on your iPhone/iPad

While we do not have a Calcium app at this point in time, you can create an App Link on your smart device that will take you directly to the calendar from your home screen.

How to:

  • Open calendar in your internet browser (ensure the URL does not contain any dates so that it takes you to the current week/day every time)
  • While viewing the calendar, click on the icon (at either the top or bottom of the screen, depending on your device)
  • In the drop down options, select "Add to Home Screen"
  • You can then rename the icon accordingly
  • The "App" will now appear on your home screen.

11.2. Creating "App Link" for Calcium on your Android Phone/Tablet

While we do not have a Calcium app at this point in time, you can create an App Link on your smart device that will take you directly to the calendar from your home screen.

How to:

  • Open calendar in your internet browser (ensure the URL does not contain any dates so that it takes you to the current week/day every time)
  • While viewing the calendar, click your Menu button
  • Select "Add+"
  • Select "Home Screen"
  • The "App" will now appear on your home screen.

11.3. Subscribing to Calcium from an Android Phone

Part 1 - In your calcium calendar on PC

  1. Go to OPTIONS
  2. Select ICAL subscription
  3. Enter Username & Password
  4. "Subscribe" to this calendar
  5. URL Address will be provided
  6. Copy the URL link & paste into your email
  7. Email yourself the URL link

Part 2 - Open your Google Calendar

  1. Under "Other Calendars" in your left hand navigation, click the drop down arrow
  2. Select "Add Calendar by URL"
  3. Enter the copied URL from Calcium. 
  4. Click "Add Calendar"

Part 3 - On your Andriod Phone

  1. Open Calendar
  2. Under Multi-Calendar view, ensure your new calendar is checked

To access the calendar, go to the calendar icon on your phone & select calcium. There's no way to push events from the native calendar on your phone to the web calendar.

11.4. Subscribing to Calcium from an iPhone

Part 1 - In your calcium calendar on PC

  1. Go to OPTIONS

Part 2 - On your iPhone

  1. Open Mail
  2. Open Email (with URL link)
  3. Copy Link
  4. Close Mail
  5. Open Settings
  6. Scroll to " Mail, Contacts, Calendars"
  7. Scroll down & Select " Add Account"
  8. Select " Other"
  9. Select " Add subscribed calendar"
  10. Paste URL link from above, next to "Server"
  11. Select " Next"
  12. Enter description of your calendar
  13. Select "Save"



To access the calendar, go to the calendar icon on your iPhone & select calcium. There's no way to push events from the native calendar on your iPhone to the web calendar.

IMPORTANT: To edit the calendar via your phone browser, you will need to select the day at the top of the screen as the iPhone does not respond to a double click.

12. Advanced Functionality

12.1. Auditing

What is Auditing?

By default, every calendar has auditing turned on. It is a master notification system that emails a nominated email address every time a change is made in the calendar (created, edited, deleted)

Do I have Auditing?

Unless you have requested to have Auditing turned off, you will be receiving the notifications to a nominated email address. If you are unsure of this, or would like to clarify please contact support@silentpartner.com.au

Additional Auditing features

By default, the auditing feature will email the nominated address each time an event is created, edited or deleted. You can however receive a notification on the following features:

  • Each time the calendar is viewed
  • Add Events
  • Edit/Delete Events
  • User Subscription Requests

You should know:

With the notification of edit events, you will only be advised of what the change is eg if the time is the only thing changed, you will only be advised of the event text and the time, not the date of the event. This will be shown as:

oldtime -> newtime

12.2. Subscribing to Calcium from your Google Calendar

Your can subscribe to Calcium from your Google Calendar by the following steps :-

In your Calcium Calendar

1.       Go to Options
2.       iCalendar Subscription
3.       Enter Your Username and Password
4.       Select Subscribe to this calendar
5.       Copy your calcium calendar address (which is located at the bottom)
6.       Reduce Calcium program on your screen

Then Go to Your Google calendar
1.       Go to Calendar tabs (can be across the top - 2nd tab from right end)
2.       Then go to "My calendars" tab (can be found on left hand side /vertical tab)
3.       Press the Far right arrow to Select Settings
4.       Then select Calendars
5.       Browse interesting calendars (found on the far right ;about half way down the page)
6.       Add by URL
7.       Then Paste in your calcium url link (from step 5 in calcium calendar steps as detailed above)
8.       Select Add Calendar

 

IMPORTANT TO NOTE: The Google calendar does not refresh instantly with data that is added to Calcium. (ie events entered into Google calendar will not be updated into your calcium calendar real time.)

 

Google control how often the Google Calendar is updated & will refresh accordingly.

 

They do say "every few hours" but it can take overnight / 12 hours.

12.3. Searching for an Event

Searching for an event is really easy! You just need to know where to look. 

When looking at your calendar you need to scroll to your footer and select Options > Search For Events 

It is recommended when entering the text to search for, you use the smallest part of the name you know will be correct. Eg if you are searching for a Stephanie Germanotta I would recommend searching the term "German" instead of Stephanie. Stephanie is a common name and you may find a number of results. Additionally there might have been a spelling mistake and it should have been Stefani, or perhaps the patient gave the name Steph or Stef for their booking. 

You can also select certain categories to search for if you wanted to filter out a particular appointment type eg waiting lists 

We also recommend checking the date window you are searching, especially at the end of the year. We suggest keeping the date window broad as well, more information can help get an idea of appointment history. 

12.4. Subscriptions

Any user who can view a calendar can sign up to receive an email about an event before it occurs. The email is sent at defined periods prior to the event based on the users Subscription membership. Users can choose to receive mail about all events in a calendar, events in particular categories, or just specific events of their choice. Users can sign up for any event that is scheduled to occur in the future.

12.5. Temporarily Changing Display for User

By default, a calendar will be set up as a Time Plan format in week view, while an overview calendar (if you require one) is set in Planner view. Jump to Using Multiple Calendars (Chapter 9 - see below for links) for more information on how to navigate the calendar using the Planner view.

To navigate the Time Plan view, you will be using 2 navigation bars at the top of the screen.

You can change your view to suit your personal preferences. Feel free to experiment with the display options at the bottom of your calendar to find the option that suits you best. If you find a view that is more preferable to you (e.g you may prefer to view the current day only), you can save that URL which will store your preferences.

12.6. Changing Your Password

When a user is created, Administration gives the user a password. They do not have to keep this password! Once the user has signed in they have the option to change their password in their home screen, under User Options. The user will need their current password to make the change.

Please note that the calendar does not have the option to email you your password if you forget it. If you do not remember your password you will need to contact support@silentpartner.com.au with your username and we will issue you with a new password.


13. Support

13.1. Calendar does not go to current date

Q. When I open my calendar, it keeps going to the same date, not the current one. How do I change this? A. The problem is likely that the URL being used to get to the login page has a date specified in it. That could be from a link somewhere, or a bookmark. Check the URL; it should be something like: http://calcium.silentpartner.com.au/?Op=ShowIt&CalendarName=MyCalendar Not http://calcium.silentpartner.com.au/?Op=ShowIt&CalendarName=MyCalendar?Date=2008-04-01 If you see that "Date=xxxx-xx-xx" in the URL, remove it, and the login should redirect to today's date. Alternatively, use the base URL of http://calcium.silentpartner.com.au/

13.2. Calendar Maintenance

While you as the client are in charge of maintaining your diary, there are some changes that you may prefer are made by The Silent Partner. In these situations all change requests need to be made in writing to support@silentpartner.com.au.

All changes made by the Silent Partner are charged at a rate of $80 per hour excl GST as per The Standard Schedule of Fees and Charges. This also includes processing your request so the clearer your request, the less time it will take.
